Art Circles Waitlist Referral Challenge - Terms & Conditions

1. Organizer

The Challenge is organised by Art Circles ("Art Circles", "we", "us", "our"). This Challenge is operated using the Viral Loops platform, which is used solely to collect, track, and qualify referrals and leaderboard positions.

2. Eligibility

Participation is open to individuals aged 18 years or older at the time of entry.

• Only one entry per individual is permitted.
• Participants must enter using a valid, unique, and personal email address.
• Employees, contractors, or collaborators directly involved in the organisation of the Challenge may be excluded at our discretion.

3. How the Challenge Works

• Participants join the Art Circles waitlist by submitting their email address via the official waitlist form.
• Each participant receives a unique referral link.
• Referrals are counted when a referred person signs up using a valid and unique email address.
• Leaderboard rankings are based on the number of qualified referrals recorded through Viral Loops.
• Quality of referrals matters: real people with valid email addresses are required.

4. Fraud, Abuse & Disqualification

We reserve the right to review, verify, and audit all referrals and leaderboard positions at any time. The following actions may result in immediate disqualification:

• Use of fake, disposable, temporary, or invalid email addresses.
• Self-referrals or multiple entries by the same individual.
• Use of bots, scripts, automation, or any artificial method to generate referrals.
• Any activity deemed fraudulent, manipulative, or abusive by Art Circles.

If a participant is disqualified:

• Their position will be removed from the leaderboard.
• The next eligible participant will move up in ranking.
• Art Circles' decision is final in all matters relating to qualification, disqualification, and leaderboard ranking.

6. Prize Fulfilment Timeline

• Winners will be contacted via the email address used to enter the Challenge.
• All prizes will be fulfilled no later than 18 months after the end of the campaign (20 April 2026).
• Failure to respond to winner communications within a timeframe may result in forfeiture of the prize.
• Prizes are non-transferable.
• Prizes are non-exchangeable.
• Prizes are not redeemable for cash.

7. No Guarantee of Access or Membership

Participation in the Challenge or placement on the leaderboard:

• Does not guarantee access to Art Circles.
• Does not guarantee future membership, invitations, or benefits.
• Does not create any contractual right beyond the prizes listed.

Art Circles remains a curated and discretionary platform.

8. Limitation of Liability

To the fullest extent permitted by law, Art Circles is not responsible for:

• Technical failures, outages, or errors on Viral Loops or third-party systems.
• Lost, delayed, or misdirected emails.
• Travel disruptions, cancellations, or force majeure events affecting prizes.

Art Circles shall not be liable for any indirect, incidental, or consequential damages arising from participation in the Challenge. Participation is at the participant's sole risk.

9. Data & Privacy

By participating, you consent to the collection and processing of your data for the purposes of:

• Operating the waitlist.
• Tracking referrals and leaderboard positions.
• Contacting winners.

Data is processed via Viral Loops and handled in accordance with applicable data protection laws. Art Circles will not sell personal data to third parties.

10. Modifications & Termination

Art Circles reserves the right to:

• Modify, suspend, or terminate the Challenge at any time.
• Amend these Terms if necessary, with updated versions published accordingly.

Any changes will not unfairly disadvantage participants who have already entered.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
